Operations Coordinator

As an Operations Coordinator, you will play a vital role in ensuring the seamless day-to-day operations of Falling Colors. With a special focus on supporting our Executive Team, you’ll help remove roadblocks, increase efficiency, and ensure that cross-departmental work flows smoothly. You’ll be the go-to person for administrative tasks, managing timelines, communications, and projects that are critical to our business.

Key Responsibilities Include

  • Executive Team Support: Assist our leadership with administrative tasks, including managing calendars, tracking deadlines, and coordinating communications.

  • Document & Review Cycle Management: Oversee periodic reviews and manage important documents like budgets, HR items, and travel logistics.

  • Recruitment & Hiring: Take the lead in managing our hiring process—post job announcements, process resumes, coordinate interviews, and work with third-party recruiters.

  • HR Process Logistics: Provide vital support for onboarding, document tracking, and compliance with training and state registration requirements.

  • Meeting Support: Attend key meetings to track action items, monitor progress toward deliverables, and provide concise summaries for follow-up.

  • Asset Management: Help maintain an organized inventory of company equipment (computers, mobile devices, furniture) and manage software subscriptions/licenses.

  • Third-Party Communication: Facilitate communications on documentation-related matters like tax forms, NDAs, and brand materials with external partners.

  • Event Coordination: Play a pivotal role in planning company events, including retreats, scheduling, and arranging travel.

  • Additional Duties: Adapt to the evolving needs of our company with other responsibilities as they arise.

Requirements

  • Bachelor’s degree or equivalent experience.

Job Specifications and Pay

This job is a full-time, exempt position working approximately 40 hours a week. Our headquarters is in Santa Fe, New Mexico, with satellite offices across the United States. For the ideal candidate, this is a hybrid position that will require an on-site presence several days a week. The candidate will need to have a functional at-home workspace with reliable internet service and the ability to travel to work in Santa Fe.
